Sales & Marketing Coordinator Department: Sales & Marketing Reports To: Sales & Marketing Team
Support the Executive/Sales/Marketing/IT teams
General administrative duties – Correspondence, filing, copying, messages, reports, etc.
Establish office procedures “standards of practice” with the Executive Officers for routine business requirements including how to handle telephone inquires when Executives are out of the office, mail inquires, establishing due dates for agreed upon activities, etc.
Create and maintain a calendar of events for the Executive Office
Create a file system which will provide readily accessible information in either hard copy or electronic means
Research “issues” with either customers, manufacturers, or staff to inform executives of potential resolutions with problem solving
Assist with resolving and developing all Human Resource related issues including, health coverage, benefit interpretation, 401k, disability program, etc. Provide support to the HR Work Group, and work directly with the Secretary and Treasurer on all HR matters
Communicate and provide information to assist and enable organized operations and effective communication between departments
Forward leads from the Info folder as well as from website, trade shows and lead retrieval systems to appropriate Singer Members
Interact with the Sales Department to coordinate activities of this dispersed group
Take a lead responsibility to organize, prepare and complete bid packages as requested
Travel coordination as needed
Hotel, Flight, Car arrangements
Representative arrival and departure coordination
Manage the creation and distribution of the eSinger Siren, as well as increasing subscriber base
Business cards/Stationary orders
Update monthly web statistics
Literature inventory and ordering
Organize current sales and show literature
Continuously stay on top of and change out new literature
Manage customer, station list, and eSiren subscriber, and employee databases
Research and update all lists
Add and subtract subscribers
Coordinate photography of all delivered apparatus in all service locations
Contact with service centers weekly and review backlog
Contact with photographers weekly to schedule apparatus photos
Contact with associated media on photos of newly delivered apparatus
Work with Web administrator to update rotating apparatus on a bi-monthly basis and new deliveries on a quarterly basis
Maintain organized electronic photo filing system
Assist with the process to develop print ads for associated print media
Assist with graphics creation, management and print coordination
Research as needed
Event research
Market research on competitors’ products
Research on currently available Singer Product lines
Travel requirement based on show calendar and other scheduled events
Coordinate territory shows and events working closely with both sales and marketing to complete necessary tasks
Experience:
Requirements: Proficient with Microsoft Office Suite, Knowledgeable with Microsoft Publisher, Knowledgeable with Microsoft Access. 2-4 years of experience working in a marketing or sales environment.
Preferred: Experience with Adobe CS2
The right candidate will be able to handle tight deadlines as well as an environment where work related priorities are constantly changing.
This chosen individual should have the ability to work with tight deadlines. Experience preferred but not required. Education required: College degree in marketing or related field.
